When I was working fast as an insurance broker, it was important to keep up with my emails. It’s important to me to keep up with all the emails from my kids’ schools, sports teams, and family. And more than ever, it’s important to me to stay on top of my business-related emails (from blog readers, clients, PR firms, and anyone else you can think of).

It’s not easy staying on top of my emails though, and if you’ve ever emailed me… you already know that. I always seem to run a few days behind! Some days I feel like my emails are multiplying like a gremlin… and an inbox full of emails (junk or not!) is extremely stressful.

If you have an insane amount of email to sort through, start with the oldest AND honestly… if you have a few months worth of email backups in your inbox, it’s okay to delete them. No one expects a response months after emailing you.

Then you can see the entire email chain in one place. That way you don’t waste time answering emails that have already been resolved. This is especially useful if you have emails that multiple people can copy. Getting rid of old emails is a big part of the process of getting rid of email clutter.

. Use a service like unroll.me to unsubscribe from email – I bet you don’t know how many things you subscribe to! But trust me… all that junk mail weighs on you.

“Bulky” emails that you don’t want to get rid of, but don’t want to see in your inbox every day. Again, I use unroll.me (and no, this is not a sponsored post for them!) If you connect your email to their free service, you can see all your email subscriptions in one place. You can scroll through your subscriptions (many of which you probably have no idea…) in alphabetical order and choose to either cancel, leave in your inbox or “fold”. What you want to unroll will appear in your inbox every day in the daily preview from unroll.me. I always open it and quickly look through it to make sure I’m not missing anything important.

Sometimes I find something I didn’t want to flip and send it back to my normal inbox delivery. Sometimes I find something I want to read – but circle it. But usually I see a bunch of crap that just adds noise and clutter that I shouldn’t see every day, but I’m not ready to unsubscribe just yet.

Spend time on your emails every day. I start my work in the morning by scrolling through my inbox to get rid of the email clutter. I delete everything I can delete. I answer simple questions. I forward customer service questions I receive to customer service. I file emails that are addressed or that I want to keep for some reason If an email is in my inbox, it must have a purpose. I currently have 18 emails in my inbox. I will answer some of them. There are some dates in them that I need to write down. Another bill to pay. Once I complete the action item in the email, it will be moved or deleted.

Are There Alternatives To Email?

Set up a simple file system. I use folders for my email. I have one for family and then a bunch for work – things like income and expenses, customer service, etc. As soon as I finish an email, I can put it in the appropriate folder.

Clean your email list regularly. Every few weeks I go to unroll.me and subscribe to things and unroll more emails. People are adding me to lists all the time – in fact, it’s shocking to log in and see how many new lists I’ve been added to! Every time I do, I get more careless. As a result, the emails in my inbox are now mostly relevant… and not filled with spam

Forward multiple email addresses in one email. If you have multiple email addresses, move them to one central email address that you control. It saves you time and energy, and you only have one inbox to keep clean

Use an out-of-office autoresponder if you’re out of town. I don’t want to be connected to my inbox when I’m out of town This helps set the expectation that I can be slow to respond. You can also use it to refer people to each other for help.

How To Delete All Emails For A User

Not always. But even if it takes me a while to get back to someone, I usually do. My inbox is not a black hole. It’s hardly overwhelming (I’ll disagree when I get back from my last vacation…ha).
